An external salary award is defined as a competitive, peer-reviewed award that is offered by research institutes, provincial, national, or international agencies and is paid as salary to the awardee/faculty member. Applications for such awards are normally supported by the Faculty, are an important part of the planning process of the Faculty, and must be approved by the Department Head/School Director and the Dean. External salary awards, such as new investigator awards, from organizations including Michael Smith Foundation for Health Research (MSFHR), Canadian Institutes of Health Research (CIHR), as well as Canada Research Chairs, carry with them explicit understanding that the individual will devote 60-80% of their time to research which may impact their contribution to educational, administrative and clinical roles.
Eligibility
- Assistant Professors, Associate Professors and Professors in tenure track, grant tenure track or partner track appointments are the only ranks eligible to apply for external salary awards.
- Clinical Faculty members wishing to become eligible for an external salary award should discuss options with their Department Head/School Director.
Application Process
a) For individuals who do not hold a current Faculty of Medicine full-time appointment:
Department Heads/School Directors intending to submit applications for external salary awards (such as MSFHR, CIHR, etc.) on behalf of individuals who do NOT currently hold an existing Faculty of Medicine (FOM) full-time professorial appointment (tenure, grant tenure and partner track appointments) must first identify the need for this position and will still be required to follow the FOM recruitment procedures for such appointments. If advertising or a request for a waiver of advertising is not possible prior to submitting an application for the external salary award, the Department Head/School Director will need to demonstrate the following:
- Departmental colleague support for the appointment (e.g. departmental standing committee vote); and
- Confirmed funding support for the salary outside of that provided by the award, benefit and salary increase costs, housing assistance, start up and, if stipulated by the award, provisions of funding beyond the end of the term of the award, using a Faculty Recruiting Request Form.
The recruitment and advertisement process will be the same as for all other full-time stream faculty appointments (for current FOM procedures please visit the Hiring Faculty page).
b) For individuals who currently hold an existing FOM full-time faculty appointment:
The FOM requires several documents for all External Salary Award applications. You will also require a number of signatures in order to complete your application package. Please note the timelines for obtaining signatures on External Salary Award applications.
Required Documents
The Department Head/School Director must complete and submit the following documentation to Research:
- FoM Grant Application Cover Sheet
The FOM Grant Application Cover Sheet is a FoM agreement completed by the Principal Investigator and signed by the following:
– The Principal Investigator (must hold a full-time faculty appointment at UBC, or have a signed offer letter)
– The Department Head or School Director (no alternates)
– Dean, Faculty of Medicine - FoM Request for Dean’s Approval of External Salary Award Applications
This form demonstrates Departmental or School support for the applicant and that the proper requirements have been fulfilled. - Department Head/School Director’s letter of support
Complete as per agency requirements. Drafted and signed by the Department Head or School Director (For MSFHR Department Head Form – to be completed online by the Department Head and submitted with application package).Please note: CIHR Clinician Scientists are considered on a case-by-case basis in consultation with the Dean’s Office. - Dean’s letter of support(if required by funding agency) drafted and approved by Department Head/School DirectorIf a letter is required by the Granting Agency, all applicants must provide a draft letter to be sent by email to Bryan Wong directly from the Department Head or School Director (or their Assistant/Administrator). This is to ensure that the Head/Director is aware of the contents of the letter. We will arrange to have the letter prepared for the Dean’s signature. When the application package is brought to the Dean’s Office for signatures, the letter will be added to the package and submitted to the Dean for approval and signature.
- Agency application
- Two SPARC reviewer sign-off forms
It is the applicant’s responsibility to discuss the proposal with their reviewers and it is the reviewer’s responsibility to complete, sign, and return the forms to SPARC.

Unless otherwise specified, for the processing of Salary Award applications, Dean’s Office, Research maintains a 3-day turnaround time. We can not guarantee this turnaround time for incomplete applications.

- Principal Investigator (must hold a full-time faculty appointment at UBC)
- FoM Department Head or School Director (not an alternate)
- Dean, Faculty of Medicine
- Director of ORS (on behalf of the President of UBC)
Many funding agencies have introduced the use of online applications. In such cases, these 4 individuals may be required to give their approval online in lieu of physical signatures.

- FoM Department Head or School Director (not an alternate)
- Dean, Faculty of Medicine
Note: If the appointment is to be in a Senate-approved Centre, both the Request for Dean’s Approval and FoM Cover Sheet should be co-signed by both the Centre Director and the relevant Department Head (to ensure support of full-time academic appointment including teaching responsibility). There is currently no allotted space for the co-signer’s signature on the FoM Cover Sheet; please find room at the bottom of the page.
